Fringe



A dynamic line-up of fringe events at Conference sees a huge range of animated discussions taking place around the clock. Fringe gives reps the opportunity to mingle with MPs, Peers and other leading Party members, attend receptions and take part in a series of lively debates. Sometimes controversial, but never dull, there is always food for thought in the fringe programme.

Booking a fringe event with the Liberal Democrats

To request a room please send an email with your event requirements (style of event, min/max room capacity needed, preferred time and date, etc.) to fringe@libdems.org.uk as soon as possible. Please note that room requests must be made in writing and that no provisional bookings will be taken over the phone. Rooms are allocated on a strictly first-come-first-served basis and requirements will be met as best possible.

We always have a wide range of venues available, both in and outside the secure zone. Whether you are planning to hold a reception, theatre-style fringe or small boardroom or breakfast meeting - we hold rooms of all sizes.

Please note for any fringe rooms booked through the Conference Office, the cost of the room hire includes a FREE listing in the official fringe guide which is available in hard-copy and downloadable in pdf from the website. Catering and AV equipment is not included in the room hire and must be budgeted for and organiseed separately once the room booking is confirmed.

Deadlines

There is no formal deadline for fringe event requests, however the deadline for submitting a fringe listing for the official fringe guide is:

13 January 2012 for the Spring Conference (NewcastleGateshead 9-11 March 2012)

Official fringe venue: The Sage Gateshead (secure - photo passes required)

Mid/End July 2012 for the Autumn Conference (Brighton 22-26 September 2012)

Official fringe venues: The Grand (secure) and the Hilton Metropole (not secure - no photo passes required)

Fringe timings

Please note that while fringe events can be held at any time, events can only be advertised outside of main auditorium times, i.e. up until 9.00, between 13.00 and 14.00 and again from 18.15 onwards.

Standard fringe slots are:

07.15-08.30
13.00-14.00
18.15-19.30
20.00-21.15
21.45-23.00

Except on the night of the Conference Rally (Friday for Spring, Saturday for an Autumn Conference) where the Rally runs from 18.30-19.30 and the first fringe slot of the evening is 20.15-21.30.

Rooms for private, invitation-only meetings may take place outside of these hours, but cannot be advertised. If this applies to your planned event please indicate this in your email.

It is possible to book two or more consecutive slots for an extended event. A standard set-up/break-down of 15 minutes is available before and after the event - additional set-up time must be booked and is subject to availability.

Pricing

Pricing very much depends on the size and set-up of the room required for an event, however there are room options for all budgets. Note that in order to encourage a better spread of events across the days of the Autumn Conference, Saturday/Wednesday room hire rates are reduced, followed by Sunday rates. Monday and Tuesday are peak days and room hire rates here carry a premium across all slots.

Room hire rates in the conference centre (secure zone) are more expensive than in the hotels as bookings here include a pass allowance.

Rates for a Spring Conference are significantly cheaper and do not vary by day.

Booking a fringe event in a venue other than the official fringe venues

Fringe events booked elsewhere are charged for their listing. Note that we can only accept advertising in venues that are fully wheelchair accessible - a regular stairlift will not suffice. Please confirm this with the venue before submitting your fringe listing. Please check for the space you are using specifically and not just for the venue in general.

Fringe listings

Events booked in one of the official fringe venues receive a free listing. Fringe organisers will be sent details of the online submission system by email in due course.

Disabled access

All official fringe venues bookable via the Conference & Events Office are fully wheelchair accessible. Please note that we will only accept advertising for events held in venues that are fully wheelchair accessible.
