Responsible to: Approvals & Selections Manager
Salary: £25,933.53 to £26,713.55
Benefit: 3% Employer’s Pension Contribution
Tenure: Permanent
Hours: 18.75 hours per week (0.5)
Location: Office/Home based, with occasional travel to meetings in London.

Purpose of job
To provide accurate, timely and well-organised administrative support to the Liberal Democrats’ candidate approval and selection processes, ensuring selections run smoothly, data is well-managed, and volunteers receive effective day-to-day support.
Key Responsibilities
- Administer the necessary processes to deliver candidate approvals and selections accurately and to the agreed schedule.
- Provide day-to-day support to individual Returning Officers and Electronic Ballot Administrators over individual selections, escalating difficult or contentious queries.
- Build and maintain fit-for-purpose databases and data handling systems.

Comfortable working to deadlines and managing fluctuating workloads.
Essential Skills and Experience
Administration & Operational Support
- Proven experience in an administrative or coordination role, supporting complex processes or projects.
- Excellent organisational skills, with the ability to manage multiple tasks and deadlines simultaneously.
- Strong attention to detail, with a track record of delivering accurate work to agreed schedules.
Data & Systems
- Experience of maintaining databases or structured records, with a high level of accuracy and consistency.
- Confidence using digital tools such as spreadsheets, shared document systems and online platforms.
- Understanding of good data-handling practice, including confidentiality and data protection principles.
Process Delivery
- Ability to follow defined processes and procedures consistently, while flagging issues or anomalies.
- Experience of ensuring the right information is available to support operational delivery.
- Ability to coordinate logistics such as mailings, meeting arrangements or online events.
Support & Stakeholder Interaction
- Experience of providing day-to-day support to colleagues, volunteers or external stakeholders.
- Strong interpersonal and communication skills, with the ability to respond clearly and professionally to queries on the phone, in person and via email..
- Ability to recognise when issues need to be escalated and to do so appropriately.

Desirable Skills and Experience
- Experience supporting elections, selections or other time-critical democratic processes.

- Experience of supporting electronic ballots, online hustings or secure digital meetings.
- Experience of working with CRM systems or membership databases.
- Experience of coordinating member communications or mailings.
